Soul Reason Terms & Conditions
These Terms & Conditions form an agreement between Soul Reason Vocal Group (“the Choir”), operated by Maia Hendrickx Vocal Studios, and you (“the Member”).
By joining Soul Reason, you confirm that you have read, understood and agree to these Terms & Conditions.
Membership
- Membership is for one full academic year, running across three terms (approximately 36 rehearsals).
- Rehearsals normally take place during school term time. Dates will be published in advance.
- Membership includes weekly rehearsals and access to the Choir’s learning resources, subject to your membership remaining active.
- By becoming a member, you agree to receive communications relating to rehearsals, performances, membership, payments and choir opportunities.
- Membership is paid either – in full at the beginning of the academic year; or by three termly instalments.
- Members choosing the instalment plan agree to pay the full annual membership fee. The instalments are simply a payment plan and do not represent payment for individual terms.
- Instalment payments are due: on joining, 1 January & 1 May
- Choosing to leave the choir, reducing attendance, or being unable to attend rehearsals does not cancel any outstanding payments.
- Membership fees are reviewed annually. Any changes will be communicated before the start of the next academic year.
- New members have the legal right to cancel their membership within 14 days of joining without giving a reason.
- To cancel, you must email: soulreason@mhvsvoicecoach.com
- If you cancel within the 14-day period, any fees paid will be refunded, less the cost of any rehearsals already attended or made available before cancellation.
- Members renewing immediately from one academic year into the next are not entitled to the 14-day cancellation period, as the service continues without interruption.
- After the 14-day cancellation period has expired, your place in the choir is reserved for the academic year and membership fees are non-refundable.
ATTENDANCE & EXPECTATIONS
- Members are expected to attend rehearsals regularly.
- If you cannot attend a rehearsal, please let the Choir Leader know as early as possible, preferably before the rehearsal begins.
- Missing rehearsals does not reduce your membership fee.
- Members are responsible for learning any music, choreography or performance elements covered during rehearsals they miss. Resources will be made available where possible to support this.
- Repeated absence without communication may result in the loss of your membership.
PERFORMANCE REQUIREMENTS
Our concerts require significant musical and logistical preparation. To ensure performances remain at a high standard:
- If you miss 50% or more of rehearsals during either the Christmas Concert term (Term 1) or Summer Concert term (Term 3), you must attend: the final two rehearsals before the concert; and the dress/technical rehearsal.
- All members, regardless of attendance, are expected to attend the final rehearsal before the Christmas and Summer concerts.
- If exceptional circumstances prevent attendance at the final rehearsal, you must inform the Choir Leader as early as possible.
- If notice of absence is received during the week of the performance, it may no longer be practical to include you in the concert due to staging, balance and rehearsal planning.
- Participation in any performance is at the discretion of the Choir Leader, who may withdraw a member from a performance if they are not sufficiently prepared musically or logistically.
- Soul Reason is a performance choir. Members join with the understanding that performances are an important part of the choir experience and the shared commitment made by all members.
- While occasional absence and unforeseen circumstances are understood, members are expected to prioritise performances and make every reasonable effort to attend scheduled concerts, events and performance opportunities.
- Performances are the culmination of the choir’s collective work. The participation, preparation and commitment of every member contributes to the success of the group.
- Members who repeatedly withdraw from performances, or who are unable to commit to the expectations of a performance choir, may be asked to discuss their ongoing membership with the Choir Leader.
- The Choir Leader reserves the right to decide whether a member is sufficiently prepared and able to participate in a performance, based on musical readiness, attendance and practical considerations.
Remote Membership
- Remote Membership is available for members who expect to be absent for an extended period but wish to retain their place in the choir.
- Remote Membership: must be agreed in advance with the Choir Leader; is available for a maximum of one full term (12 rehearsals) per academic year.
- Remote Members retain access to choir resources and keep their place in the choir.
- Remote Members are responsible for:
- learning all music and performance material independently;
- keeping up to date with choir communications;
- returning fully prepared.
- If Remote Membership falls during a Christmas or Summer Concert term, members must attend:
- the final two rehearsals; and
- the dress/technical rehearsal
in order to participate.
- For other performances during the year, attendance at the final rehearsal may be sufficient.
- The Choir Leader reserves the right to refuse Remote Membership where it would not be in the best interests of the choir.
Absence & Punctuality
1. Absence is different to ‘Remote Membership’ inasmuch as it is either unplanned, or short term, or both.
2. Members understand and agree that they are responsible for learning the material covered in the missed rehearsal. This may also include performance elements.
3. Any absences must be reported to the choir leader as soon as possible, and preferably before the rehearsal or performance, to allow for planning.
4. If a member is consistently absent without notice, this may result in a loss of membership.
5. If a member is absent for 50% or more of the rehearsal sessions during a major performance term (1 or 3), it is necessary for the member to attend the final 2 rehearsals of the term, in addition to the concert dress/tech rehearsal in order to make sure they are ready to take part in the concert.
6. All members, regardless of their attendance record, must attend the final rehearsal before any formal concert (Christmas/Summer), except in exceptional circumstances. If attendance is not possible, notice must be given at the earliest opportunity so suitable adjustments can be made to parts, staging, and overall planning for the performance. Please note that absence notifications received during the week of the performance will likely result in the member not being able to take part in the concert.
7. If prolonged, unplanned absence occurs any other time, and members wish to take part in any casual performances, it is sufficient to only attend the final rehearsal.
8. Participation in the concert is dependent upon being musically and logistically prepared. The choir leader reserves the right to deny participation if the member cannot demonstrate this.
PUNCTUALITY
- Members are expected to arrive in good time for rehearsals and performances so they are ready to begin at the advertised start time.
- Late arrivals interrupt rehearsals, affect ensemble work and reduce the value of the rehearsal for everyone.
- If you know you will be late, please notify the Choir Leader where possible.
- Members who arrive significantly late may lose the opportunity to take part.
- Persistent lateness may affect eligibility to perform and may ultimately result in a review of membership.
